Wedding & Event Transportation Planning Tips for a Seamless Day
Featuring Stop & Go: Airport & Luxury Transportation
Transportation is one of those event-day details that’s often overlooked — until it’s not running smoothly.From guests stuck in traffic or arriving late and frustrated, to tight transitions between locations or unclear pickup points, transportation planning (or lack thereof) directly impacts you and your guests’ experience. It sets the tone for how smoothly the entire day unfolds.
At Sholeh Events, we believe thoughtful Chicago wedding transportation planning is part of creating a calm, elevated experience — for you and your guests. That’s why we love partnering with trusted professionals like Stop & Go: Airport & Luxury Transportation, who have been serving the greater Chicagoland area for nearly a decade and recently opened a new Naperville location.
Why Transportation Matters on Event Days
Professional transportation isn’t just about getting from point A to point B — it’s about timing, communication, and guest experience. When transportation is planned intentionally, it supports:
On-time arrivals and smooth transitions;
Clear expectations for guests and wedding parties;
Fewer last-minute questions and delays;
A more relaxed, enjoyable event day for everyone.
From ceremony to photos to reception (and beyond), transportation plays a quiet but critical role in keeping your timeline on track.

Expert Tips for Your Chicago Transportation Planning
For expert insight on wedding and event transportation planning, Chayla sat down with Vincent, owner-operator of Stop & Go: Airport & Luxury Transportation, to discuss booking timelines, common mistakes, and how working with a trusted local team can help the entire day run more smoothly.
Chayla: What’s the biggest transportation mistake couples make?
Vincent: "Preplanning for guests & budgeting appropriately for the number of guests and inherent costs is so important. Often bigger companies don’t ask the right questions, will oversell and overbook couples for larger and more vehicles than they end up needing. But if you work with someone local, from your community, we will work with you, we want accurate numbers, so we can keep costs within your budget.
Chayla: When should transportation be booked?
Vincent: "As soon as possible, as soon as you have enough information (like the date, times, & the venue(s) locations) to obtain an estimate! The sooner you have an accurate estimate, it makes it much more stress free!"
Chayla: What information helps ensure a smooth event day?
Vincent: “Making sure that ALL the dots are crossed, that all vendors are well-reputed professionals, and especially that on event day they are communicating and working well together… I recommend having a planner coordinator to manage the day-of!”
Chayla: How do you handle unexpected delays?
Vincent: Proactively: We are dedicated to timeliness. Our drivers always arrive 30 minutes early for wedding event components. We also have a backup fleet and backup drivers on call, from both Naperville & New Lenox. From firsthand experience, our team has seen the true professionalism of Vincent and his team at Stop and Go: they stay in communication, adjust in real time, and keep everything moving smoothly.

What Couples & Clients Should Know When Planning Transportation
Here are a few planner-approved tips we always share with our clients:
Start early. Transportation should be part of your timeline planning, not an afterthought.
Build in buffer time. Traffic, loading, and guest movement always take longer than expected. Buffer time prevents rushing, drivers included!
Choose the right vehicle types for your guest needs. Sedans, SUVs, shuttles, or luxury buses each serve different needs.
Communicate clearly. Guests should know exactly where and when to be picked up.
Coordinate vendors. Your planner, venue, and transportation provider should all be aligned.
Having an experienced transportation partner makes these details feel effortless.
Final Thought
When transportation is planned with intention, and guided or managed by professionals, it becomes one less thing to worry about — and one more way to elevate both you and your guests' experience on your wedding day.
If transportation is on your planning checklist, we’re always happy to guide you and connect you with trusted partners like Stop & Go to ensure your event day runs seamlessly.
